B2B appointment setting for software companies, without per-appointment pricing.

Updated 17 October 2026

B2B appointment setting means finding the companies most likely to buy, reaching the people who decide, and booking qualified meetings on your sales team's calendar. Scipioform does this for software and tech companies as part of a managed outbound campaign: we agree in writing who a meeting should be with, run the outreach, handle every reply and book the meetings, with part of our fee at risk against a number of qualified conversations agreed before we start.

Who it's for

  • B2B software, SaaS and IT services companies that need more first meetings with the right buyers.
  • Teams with someone who can take the meetings and follow up within days.
  • Founders who want to approve what is sent in their name, and see every reply, not only the wins.

Not a fit if you want a guaranteed number of meetings priced per appointment, or calls booked for consumer products. SaaS companies start here · Software development and IT companies start here

How our appointment setting works

  1. Agree who a meeting is with. After a short diagnostic, we write down the companies, roles and situations that make a meeting worth your time, and how many qualified conversations the pilot should produce.
  2. Build the list. The companies and the people in them, agreed with you before anything is sent.
  3. Reach out with a real reason to talk. Cold email first, written around something specific to the buyer, never a template. You approve every message.
  4. Handle the replies. Every reply is read and answered, including the ones that say no. Interested prospects are qualified against the written definition.
  5. Book the meeting on your calendar. Qualified prospects get a time with your team, with notes on who they are, what they said and why they agreed.
  6. Report every number. A weekly report with every result as "X from Y": emails sent, replies, qualified conversations, meetings held, and the misses.

See it end to end on a made-up company: a sample diagnostic and a sample results report, both labelled as synthetic.

What counts as a qualified meeting

The definition is written down before the pilot starts, and it's specific to your business: the company size and industry, the roles that can take the meeting, the problem the prospect must have, and whether a no-show or a reschedule counts. A meeting that doesn't meet the definition doesn't count toward the pilot's threshold. The checklist we use for a meeting definition

How we price it instead

A fixed-fee diagnostic first, refunded in full if you don't find it worth acting on. Then a fixed-term pilot, with part of our fee at risk against a number of qualified conversations we agree with you in writing. Month to month after that. We never bill hourly and never charge per meeting booked. The exact terms

Questions

What is B2B appointment setting?

Appointment setting is the part of outbound sales that turns a prospect's interest into a booked meeting with your sales team. A provider finds the right companies and people, reaches out, handles the replies, qualifies interested prospects and puts the meeting on your calendar.

What is the difference between an appointment setter and an SDR?

Mostly scope. An appointment setter books meetings from interest someone else created; a sales development rep (SDR) usually does the research and outreach that creates the interest, then qualifies and books. We do both parts: the targeting, the outreach and the booking.

How much do appointment setting services cost?

Providers that charge per appointment publish prices of roughly $150 to $600 per booked meeting, and more for senior executives. Retainer and hybrid models are priced monthly instead. How we price it is set out above, under "How we price it instead".

Per-appointment prices as published by Revnew, SalesHive and Leadium. Checked 26 September 2026.

Why don't you charge per appointment?

Because per-appointment pricing pays for volume. The provider earns the same for a meeting with a buyer as for a polite call that goes nowhere, so the loosest definition of a meeting wins. We'd rather be measured against conversations that meet a written definition you agreed.

Will cold outreach hurt our domain?

Sending runs from separate secondary domains, never your primary domain, set up in your own accounts. Sending volume and warm-up practice are set in writing for each engagement.

Who owns the meetings, the list and the replies?

You do. Everything generated inside a paid engagement belongs to you, is built in your accounts, and is handed over in writing if you leave. It's never routed to anyone else.
